Microsoft Sharepoint is being used by an increasing number of companies to help them organise schedules and calendars, manage and discuss ideas as well as allowing individuals in the organisation to share information and stay in touch with each other. The system is created in the form of a website which can be accessed through a web browser and can be used to aid groups of individuals within a company or organisation, for example a team, school or faculty, to share information and work with each other.

There are numerous advantages to using this kind of software. The most immediately obvious advantage to an organisation is the ease by which information can be accessed. Anyone using an internet enabled pc with a standard web browser can access the system. An added bonus is that these days anyone who has one of the latest mobile handsets can also access it whilst on the move.

The use of this software by an organisation hugely simplifies the task of document distribution. Without it, the most common way for a company to distribute files is by email, which may seem a perfectly good way to perform such a task. However, problems will occur when the document has been updated, and users may end up with outdated versions of certain documents. Using Sharepoint eradicates this problem by having all documents stored in one place for all users to access at all times. The documents stored in the document library are always the latest version so there is no danger of outdated versions being used.

The alerts feature of the software is also another advantage. The alerts are sent by email and can be configured by the administrator to ensure that every time a change is made the relevant users are informed. The emails can be sent immediately or at another preset time. There is also another alternative to this, RSS feeds can be set up which note all changes that are made within the system.

Lastly, this system enables users to find the documents they need within the system easily with the use of metadata. Each document can have relevant metadata attached to it so that when a user performs a document search, the documents relevant to the search keywords will appear.
